Invoicing & VAT
One team invoice, no VAT
Contractors invoice Nexwork in PLN and are paid on time, every month. You receive one consolidated invoice for the whole team, in USD or EUR. Under EU place-of-supply rules, B2B services billed to a business established outside the EU fall outside the scope of Polish VAT — so the team invoice carries none.
Office invoice, Polish VAT
Office space is invoiced separately from the team. Because it's a service connected with real estate located in Poland, it's taxed in Poland by law and carries Polish VAT — which Nexwork reports and settles, so there's nothing for you to file.
Office space, on a pass-through basis
Office space is optional. When your team uses Nexwork-arranged office space, it's re-invoiced each month at the actual cost agreed for that space, with no markup added. It stays a separate line item, so team costs and office costs are always easy to reconcile.

Frequently asked questions
Do we need a Polish entity?
No. Nexwork is already registered and operating in Poland, so we sign the contracts, invoice your contractors and handle every local filing directly. Your company signs one Master Service Agreement with Nexwork and never needs to open, or maintain, a Polish entity of its own.
Who holds the IP?
You do. Every contractor's agreement with Nexwork includes a full assignment of intellectual property rights, and that assignment flows straight through to your business. Nothing produced under the engagement stays with Nexwork or with the individual contractor.
How fast can a contractor start?
If a contractor is already working with you, moving them onto a Nexwork contract is mostly a paperwork exercise — the Master Service Agreement and their individual Statement of Work are usually signed within a single billing cycle. From there, invoicing and payments simply continue on Nexwork's monthly rhythm.
What about GDPR?
Data protection terms are a standard part of every Nexwork contract, not a separate negotiation. Each Statement of Work includes the processing terms needed to keep contractor data, and any client data contractors touch, compliant with GDPR from day one.
Can employees (umowa o pracę) be covered, not just B2B?
Yes. Alongside B2B contractors, Nexwork can act as full Employer of Record for people who need a Polish employment contract (umowa o pracę) — handling payroll, social security contributions, income tax withholding, paid leave and statutory benefits. Employment-based hires are invoiced within the same monthly summary as your B2B team, so you still deal with one partner on one rhythm.
What happens if we end the engagement?
Either side can wind the engagement down under the notice terms in the Master Service Agreement. Contractor offboarding, final settlements and the return of any equipment held for the team are handled as part of that process.
How is the office billed?
Office space is billed separately from the team invoice and purely as a pass-through: whatever the space actually costs is what's re-invoiced to you, with no markup added by Nexwork. Because office services are connected with real estate in Poland, that invoice carries statutory Polish VAT, which Nexwork reports and settles on your behalf.
